Job Summary:
We are looking for a strategic and results-driven Operations Head to oversee the day-to-day business operations. This role ensures that the studio runs efficiently and profitably while supporting project delivery, resource planning, HR, finance
coordination, and compliance. The ideal candidate will have a strong background in operations management.
Key Responsibilities:
Studio-Wide Project Oversight
- Monitor progress and delivery timelines across all ongoing architectural projects.
 - Ensure that each project follows defined workflows, milestones, and quality checks.
 - Coordinate with project leads to identify delivery risks and resolve roadblocks.
 
Resource Management
- Oversee team structuring and workload balancing across projects and departments.
 - Plan and allocate manpower in alignment with project deadlines and pipeline.
 - Support hiring decisions based on project forecast and studio needs.
 
Workflow Process Implementation
- Develop and implement standard operating procedures (SOPs) across design, documentation, QA/QC, and approvals.
 - Ensure adherence to documentation protocols, file organisation, naming standards, and version controls.
 - Set up internal review systems for quality assurance at all key stages
 
Project Management Tools and Systems
- Lead the implementation of project management platforms (Asana, Trello, BIM 360, Monday.com, etc.).
 - Define how tasks, dependencies, and review cycles are tracked digitally.
 - Ensure teams are trained and actively using these tools for real-time visibility and accountability.
 
Financial and Commercial Oversight
- Work with finance to ensure timely billing, tracking of project profitability, and expense monitoring.
 - Help create project budgets and monitor scope changes that affect deliverables or revenue.
 - Track consultant agreements, deliverables, and billing schedules.
 
Client’s Consultant Coordination
- Support project teams in coordinating with clients and external consultants on timelines, delivery protocols, and submission requirements.
 - Step in during escalations or delays to ensure expectations are managed and resolved diplomatically.
 
Internal Communication Culture
- Run weekly project status meetings and studio operations check-ins.
 - Keep leadership informed of project health, resource stress points, and delivery challenges.
 - Foster a high-performance culture while ensuring well-being and team satisfaction.
 
Strategic Planning’s Growth Support
- Assist senior leadership in scaling operations, onboarding new markets, or expanding services.
 - Provide operational input for business development, RFP responses, and strategic partnerships.
 - Evaluate new technologies and tools that can increase productivity or streamline processes.
